(Senior) Officer, Distribution Services and Operations Excellence

: Full Time Permanent
SC Job Function: Distribution

Purpose

To assist streamlining and governing end-to-end operations flow of distribution and strengthening standard operations and internal control procedures by providing all-rounded operational support and quality business control independently so as to achieve the assigned business objectives through distribution partners. 

Core Responsibilities

  • Broker  distributor contracting:

-Perform broker contracting and due diligence checking according to the procedures set out in the SOP.    

-Relevant documentation/report/letter and filing as the supporting reference is required. Identify and flag any potential issues to manager and provide recommendation based on the due diligence findings.

  • Broker ongoing and trigger event review:

-Perform broker regular and trigger event reviews according to the procedures set out in the SOP to ensure our quality partnership with distribution partners.

  • Broker record management:

-Work proactively and collaboratively with internal and external parties for regular / adhoc update of the broker record, and to align the broker information on paper and our internal systems including log sheets

  • Broker service request:

-Be the go-to person for responding brokers’ service requests with follow up and update on the client’s requests by working collaboratively with other business functions

  • Broker communication:

-Work closely and collaboratively across relevant business functions to produce and seek approval for the broker communication (regularly and/ or on ad hoc basis) including but not limit to phone calls, broker website and other appropriate media according to the pre-defined process and the required time schedule

  • Management Information (MI) reporting:

-Produce ad hoc and regular report for measuring business results or managing risk & compliance issues

-Design and revise the MI reporting for improvement and any evolution of needs

  • Commission and advisory fee payment process:

-Handle the commission and advisory fee payment process, (including special cases/exceptional cases) by seeking approval from management with end to end follow through

-Support commission reporting and file supporting documents for audit purpose.

  • Work collaboratively i) within Distribution / Distribution Services function, ii) internally with Product, Operation or Marketing function and iii) externally for coordinating marketing and sales-related activities, such as brokers seminars, delivering of marketing / promotion materials, and events and customers visits in regards to invitation, venue logistic, refreshment, seminars/event material and etc.
  • Manage all the relevant documentation for control, audit and historical reference in an effective and systematic manner

Qualifications / Experience / Requirements

  • University degree or equivalent.
  • Attained (or working towards) the IIQE licenses 1, 3, 5 and FLMI qualification to become licensed for distributing insurance is preferable. Other relevant licenses for the insurance industry will also be considered.
  • At least 3-5 years’ work experience in a sales or sales support role.
  • Understanding of the insurance industry and Heng An Standard Life (Asia)’s insurance products for both local and international markets.
  • Proven ability to develop strong and effective working relationships with business partners and colleagues.
  • Organized and excellent time management skills.
  • Motivated, pro-active and able to take responsibility and work independently.
  • Good written and oral English, Cantonese and Mandarin
  • Analytical thinker, with attention to detail.
  • Customer-centric approach to problem solving.
  • Sales, relationship building and negotiation skills.
  • Computer skills should include PowerPoint, Excel, MS Office, Outlook.
